File Pull-Down Menu
The File pull down menu is used to set up and maintain the various files used by the Bank Account Manager. Following are the functions on this pull-down menu:
Change Current Bank Account This option is used to switch from one bank account to another bank account. This program can handle up to 99 separate bank accounts; however, you can process transactions in only one bank account at a time.
Edit Bank Account This option can be used to change information in the Bank Account Master File. The information which may be edited includes the following: Bank Name, G/L Control Account Number, Bank Account Number (per the bank), Reconciled Balance (balance per bank on last bank statement), Last Deposit Number, and Last Adjustment Number.
Remove Cleared Checks This option is used to remove checks, deposits, and adjustments which have cleared the bank from the system. These items must have been designated as "cleared" in the Bank Account Manager for them to be removed.
Remove Bank Account This option is used to totally remove a bank account from the system. The system will not remove a bank account unless the balance in the account is zero and there are no outstanding items (checks, deposits, or adjustments). A bank account should not be removed until all information relating to that account is no longer needed in the system.
Remove Journal History This option is used to remove historical bank journals which are no longer needed in the system.
Initial Setup This option is used to setup pre-existing bank accounts when you convert from a manual accounting system or another software package to our IBS system. NOTE: When setting up a totally new bank account, then there is no pre-existing data; therefore, you do not have to use this Initial Setup option for that account.
Re-Index Files The data files should be re-indexed periodically. The TopSpeed file driver which these programs use is self-maintaining. However, it is good to periodically check the structural integrity of your data files. This program option will re-index these files as well as remove any deleted records.
File Redirection File This option is used to edit the file which tells the program the location of the data files. In the IBS system, programs do not have to reside in the same location as the data files.
Passwords This option is used to edit the Password file. New passwords can be added, existing passwords can have their permissions modified, or existing passwords can be deleted. Any user must have a password before he/she can use this program.
Log On This option enables the user to "log-on" to the Bank Account Manager program using another password.
Print Setup This option is used to select the Default Printer.
Exit Press this button to exit this module and return to the Main IBS Menu.
