The IBS System uses a TopSpeed Database that is self-maintaining and extremely reliable. The TopSpeed file driver does not retain deleted records. All of the data files (*.tps files) are automatically "packed" every time a record is deleted from the file. This Re-Index function forces a rebuild of the indexes of the files only.


You should not have to use this Re-Index Files function unless you are requested to do so by one of our support staff in the event of a system crash or computer lockup. Lockups within the IBS program are NOT routine and most lockups are caused by hardware problems. Lockups that occur when using the IBS program can corrupt the IBS data files. Therefore, it is imperative that all IBS users report any lockups to your System Administrator immediately and that person should then contact Direct Systems Support for further instructions.

The Re-index Files option requires the exclusive use of these files. If anyone else in logged into this program, then the Re-Index Files function will not work completely.


[ X ] Filename (e.g., JM1D01) Each file in the module can be individually re-indexed. The window defaults to all files being checked. If you wish to re-index only one or a few files, then un-check those files you do not wish to re-index at this time. Please note that you should usually re-index ALL files.

[ Begin ] Press this button to begin the re-indexing process.


Once the [Begin] button is pressed, the [Cancel] button is disabled. NEVER attempt to stop the reindexing process after you have pressed the [Begin] button as aborting this process may cause data corruption.

[ Cancel ] Press this button to close this window and return to the menu.

[ OK ] This button becomes active once all of the selected files have been re-indexed. Press this button to close this window and return to the menu.

[ Help ] Press this button (if available) or the F1 key to view the Help text for this window.

Following are two common errors that you may encounter during the re-indexing process:

Error 2--File Not Found: You are not using this particular file, Press Enter or click OK to continue. NOTE: You may want to write down the name of the file or files on which you get this error so you can confirm with Direct Systems Support Staff that these are data files that you may not be using.

Error 5--Access Denied: This message usually indicates that another user has this file open on their computer. Press Enter or click OK to bypass that file. Make sure all users have exited the IBS System and Re-Index Files again. Please be aware that some network systems will occasionally "lock" files at the server that can cause this Error 5 message to appear when reindexing files. If you are absolutely certain that all users have exited the IBS program, then you may need to contact your hardware consultant for assistance in "unlocking" the file(s) at your server, or you may have to reboot all your workstations and/or your server which will force your system to "unlock" the file(s)
