The window titled Adding a Company Branch is used to add a new branch and the window titled Changing a Company Branch is used to change the information for an existing branch in the Branch File. Each of these windows contain the following:

Branch: Enter the specific number for this branch. This field will accept numbers between 1 and 99. NOTE: The system will automatically assign the next highest available number if you are inserting a new branch into this file. You may choose to use that number or assign a number of your choice, as long as that number does not already exist in this file. Also you cannot delete a branch once it has been added to this file.

Name: Enter the Name of this Branch or Location.

Address 1/Address 2: There are two lines allocated for the Branch Address. If you only need one line for the address, then use the Address 2 line.

City, State, Zip: Enter the City, State and Zip Code of the Branch Address.

Signing Agent: There are certain Military invoice forms which require a Disclaimer. This Disclaimer must be signed and the name of the person must be typed below the signature. This field is intended for this usage.

Capacity: This field is intended to be used with the above Signing Agent field. Usually the Capacity of the person signing the Disclaimer on the invoice (e.g. "Billing Clerk", "Manager", etc.) must also be stated. This field is intended for this usage.

Phone Number: This field is for the primary Phone Number for this branch.

Phone Number: This field is used for the toll-free phone number for this branch, if applicable.

Fax Number: This field is used for the fax number for this branch.


Agency Numbers 1-5: These five (5) fields are each eight (8) characters long (alpha-numeric) and can by used in any way you wish. Their primary intended use was for the number given to this branch by an external broker such as a Van Line. This branch might represent more than one broker or Van Line and consequently might have more than one Agency Number.

Transfer Path: This field is used for the specific computer path location to which information for this branch is to be transferred. All of the IBS Data Files are accessed by the File Redirection System built into IBS. This transfer path is only used if you are using the Customer Service/Dispatch Manager program as a stand-alone program at an off-site location. This path would be the location of the Transfer Files when transferring the Customer Service/Dispatch Manager billing information to the IBS Accounting System via Transfer Files. NOTE: The path is NOT validated in this program. It is only validated during a transfer program.

[ Add ] This button will appear only if you accessed this Company Branch file by using the [Insert] button on the previous Select Company Branch window. Press this button to add this new branch into the Company Branch file.

[ Save ] This button will appear only if you accessed this Company Branch file by using the [Change] button on the previous Select Company Branch window. Press this button to save any changes made to this company's information in the Company Branch file.

[ Cancel ] Press this button to close this window without saving any additions or changes. NOTE: If you make any changes to the record and then press this [Cancel] button, another window will open titled Save Record.
