This window titled Record Deficit Van Line Statement Information enables you to record a deficit (negative) Van Line Statement so that it can be properly reconciled. The deficit should be posted to the Payable to Van Line liability account. If it is shown on the next positive Van Line Statement, then just make a Journal Entry to remove it from this liability account, or if you need to write a check to the Van Lines for this deficit amount, then just record the check to this liability account.

Date: Enter the date on the statement.

Description: The description "Deficit Statement" is automatically placed in this field for you to identify this amount. You may change this description if you so desire.

Amount: This amount is automatically pulled from the Amount to Apply field on the previous window titled Apply Cash to A/R. A deficit statement should be entered as a negative amount. If the amount displayed in this field is incorrect, then you must press the [Cancel] button to return to the previous window titled Apply Cash to A/R and then correct the amount in the Amount to Apply field on that window.

A/R Account: Enter the A/R Account of the file or files to which this amount is to be applied. The name of the A/R Account will be displayed to the right of this field. Press the {?} to the right of this field to open a window titled Select A/R Account which displays the existing A/R Accounts.

Clearing G/L Number: The A/R Clearing G/L Account Number and Name will be retrieved from the A/R Account File and displayed in this field.

Access Type: The Access Type will determine how the Apply A/R Cash option will locate the proper file to which this cash needs to be applied. Point your mouse cursor to the radio button of the Access Type you must use for this amount and left-click your mouse one time to select that option.

File Number - The File Number is not an absolute and unique key. It can be searched for manually during the Apply A/R Cash operation.

Invoice Number - The Invoice Number is an absolute and unique key field. If the Invoice Number is known, then the Apply A/R Cash program can automatically locate the proper File when this amount is selected to be applied by referencing the Invoice Control file.

A/R Number - The A/R Number is an absolute and unique key field. If the A/R Number is known, then the Apply A/R Cash program can automatically locate the proper File when this amount is selected to be applied.

Sort-Locator - The Sort-Locator is not an absolute and unique key. It can be searched for manually during the Apply A/R Cash operation.

Customer Number - The Customer Number is not an absolute and unique key. It can be searched for manually during the Apply A/R Cash Operation. This is usually used for Statement checks.

Key (Alternate) - The Alternate Key is not an absolute and unique key. It can be searched for manually during the Apply A/R Cash Operation.

Access Number: Enter the number which corresponds to the Access Type selected above.

[ OK ] Press this button to record this information and proceed to the journal entry window titled Apply Cash to a Journal Entry.

[ Cancel ] Press this button to ignore any information entered on this screen and return to the previous screen.
