Help:PY1-Edit Payroll Hours Database Menu
The Payroll Hours Database contains the building blocks from which the paychecks are generated. Any pay items must be entered into the Payroll Database before they will appear on a paycheck. These hours can be entered for each employee, for each day on which that employee worked, for each job on which that employee worked, and for each type of work that employee performed on the job. There is practically no limit to the number of entries per employee per paycheck.
There can be up to 100 different Payroll Hours Databases per Payroll Account. Database 0 (zero) is the Standard Database from which the paychecks are written and Databases 1 through 99 are holding databases. Holding databases can be used for such recurring entries as salaried employees. These entries do not change from week to week. They can be entered only once into a holding database and then merged each week into the standard database for printing the paychecks.
Employee hours information can be automatically transferred into the Payroll Hours Database from the Customer Service/Dispatch Manager module, saving duplicate entry.
This menu maintains the Payroll Hours Databases for the current Payroll Account. To maintain a database for a different Payroll Account, you must first log into that Payroll Account by using the Payroll Accounts option on the File Pull-Down Menu of the Payroll Manager module.
Database: Enter the number of the Payroll Hours Database that you wish to edit. Press the {?} to the right of this field to open a window titled Total Entries in Payroll Databases which displays the current databases.
[ Edit Employee Hours ] Press this button to add, change or remove entries from the Payroll Hours Database which is displayed in the Database field above.
[ Print Employee Hours ] Press this button to print a listing of the entire selected Payroll Hours Database.
[ Database Summary ] Press this button to show the total hours and entries entered for each employee in the selected Payroll Hours Database. This provides a quick review of the hours entered.
[ Merge Databases ] Press this button to merge the contents of one Payroll Hours Database with another. This option is used to merge your "holding" databases (salaried employees, etc.) into the Standard Payroll Hours Database 0 (zero) each pay period for paycheck processing.
[ Remove Databases ] Press this button to remove an existing database. Please use caution when using this option as it will entirely delete the selected database.
[ Import Database from DM1 ] Press this button to open a window titled Import DM1 Payroll Export File which enables you to import the payroll data which has been exported from your Customer Service/Dispatch Manager module. This feature eliminates duplicate data entry. [ Close ] Press this button to close this window and return to the previous window.
