CRS-Quick Add Containers

This Option is used to add a series of containers to the Container File for a given customer. It will set up the initial container record for each container received for a customer. The contents information can be added later when time permits.

Beginning Container, Ending Container: Enter the Spread of Container Numbers which you wish to add to the Container File. A record for each of these numbers will be added if possible to the container file.

Customer Number: Enter the number of the Customer to whom these containers belongs. The name of the Customer will be displayed to the right of this field. Press the [?] button to view a list of current Customers.

Container Status: Active, Destroyed or Returned. The Container File is not self-purging. Containers will remain in the Container File until they are removed by option B-G (Remove Destroyed Containers). However, Containers which have been destroyed or returned will not qualify for Monthly Storage Charges. Consequently, Active containers will be counted for the Monthly Storage Charges, and Destroyed or Returned Containers will not.

Department/Branch: The Department and Branch fields are for identification purposes only. These fields can be used to identify the specific Department and Branch of the Customer which is the owner of this record container.

Use for Customer Container ID: Select the method for creating the Customer Container ID number.

Container Control Number - This will place the Container Control Number into this field.

Incremented Number - This will increment the number entered in the next field for each container added and place it in the Customer Container ID field.

None - This will leave the Customer Container ID field blank.

N O T E -- If this customer is set to have unique Customer Container ID numbers, then you cannot use (o) None.

Beginning Customer Container ID Number: This field will only be active if (o) Incremented Number is selected above. Enter the first Customer Container ID Number in the sequence which is used for the container bearing the beginning container number.

Container Type: Enter the Type of Container. The description of the Container Type will be displayed to the right of this field. Press the [?] button to see a list of the applicable Container Types for this Customer.

Warehouse: This program can manage records which are stored in a number of different warehouses. Enter in this field the warehouse in which these containers are being stored.

Location: You will probably leave this field blank, unless all of these containers are going into the same location.

Date Received: Enter here the date on which this container was received or picked up. This represents the date as of which your company is responsible for the safe storage of this container. A calendar can be accessed by placing the mouse in the data-entry field and double-clicking the left mouse button or by pressing the [?] button at the end of the field.

Destroy Date: Enter here the date on which this container is to be destroyed. If this container is not to be destroyed or if you do not know this date, then enter the maximum date of 12/31/2099. A calendar can be accessed by placing the mouse in the data-entry field and double-clicking the left mouse button or by pressing the [?] button at the end of the field. This date will be pre-set for you by the number of years in the Destroy After field in the storage container type file. See Update Storage Container Types for more information.

Date Returned: Enter the date on which this container was permanently returned to the Customer and is no longer under your control. A calendar can be accessed by placing the mouse in the data-entry field and double-clicking the left mouse button or by pressing the [?] button at the end of the field.

Temporarily Out: Enter here the date on which this container was picked up by or delivered to the Customer on a temporary basis. A date in this field will indicate that the customer is renting storage space for this container, but has removed it temporarily for one reason or another. These temporarily removed containers will still be billed for by the Monthly Storage Billing program; but they are not your company's immediate responsibility, since they have been temporarily returned to the custody of the owner. When setting up a new container, just leave this date blank. A calendar can be accessed by placing the mouse in the data-entry field and double-clicking the left mouse button or by pressing the [?] button at the end of the field.

Restricted: This field specifies the general availability of this container for access. Check this box if the container is Restricted, then the Owner field will govern who has access to this container. Uncheck this box if the container is Non-Restricted, then anyone from the Customer's Company can have access to this container.

Owner Password: Some companies have specific owners for each container in storage. This field can be used for the owner's specific password that the owner will use when requesting information on this container. This is required if the Restricted field is checked.
