Update Initial Bank File Record

The window titled Adding a Bank Record will appear if you select the [Insert] option on the Initial Bank Account Setup window. This window is used to add outstanding checks, deposits, or adjustments into the Initial Setup File. These would be all items (checks, deposits, adjustments) which are still outstanding on the cutoff bank reconciliation you have prepared for conversion purposes.

The window titled Changing a Bank Record will appear if you select the [Change] option on the Initial Bank Account Setup window. This window is used to change an existing check, deposit, or adjustment in the Initial Setup File.

The window titled Removing a Bank Record will appear if you select the [Delete] option on the Initial Bank Account Setup window. This window is used to delete an existing check, deposit, or adjustment from the Initial Setup File.

Each of the windows named above (Adding a Bank Record, Changing a Bank Record, and Removing a Bank Record ) have the following data fields and buttons:


Entry Type: Use your mouse or the arrow keys on your keyboard (¬­®¯) to select the appropriate entry type which describes your entry as described below. NOTE: You may select only one of the following options.

Check This is any check written on this account.

Deposit This is any deposit made to this account.

Adjustment This is any transaction affecting your bank account which is neither a check nor a deposit (e.g., electronic fund transfers, bank service charges, etc.)

Number: Enter the check number, if this is a check. If this is a deposit or an adjustment, then you must first number the outstanding deposits and adjustments that are found on the cutoff bank reconciliation you have prepared for your conversion. The bank does not number adjustments or deposits; however, for this program to uniquely identify each deposit and adjustment, they must be assigned a unique number. You can start with 1 for the deposits and for the adjustments. When you are finished, you should update the Bank Account Master File file with the Last Deposit Number and the Last Adjustment Number (see Update Bank Account).

Date: Enter the date of the transaction. NOTE: Press the [?] to the right of this field to activate a pop-up calendar which can be used to select the date. Once a date has been selected, the up/down arrows to the right of this field can be used to move the date up or down one day at a time.

Description: If this is a check, then enter the payee's name. If this is a deposit, then enter the word "Deposit". If this is an adjustment, then enter a brief description of the adjustment.

Memo: Use this field for an additional memorandum about the check. This field is not currently used for deposits or adjustments.

Amount: Enter checks as positive amounts. Deposits are normally entered as positive amounts. Only a deposit which was charged back should be entered as a negative amount. Adjustments which increase the bank account balance are entered as positive amounts. Adjustments which decrease the bank account balance are entered as negative amounts.

[ Add ] This button will appear if you selected [Insert] on the Initial Bank Account Setup window. Press this button to add this new record to the Initial Setup File.

[ Save ] This button will appear if you selected [Change] on the Initial Bank Account Setup window. Press this button to save the changes made to this record in the Initial Setup File.

[ Delete ] This button will appear if you selected [Delete] on the Initial Bank Account Setup window. Press this button to delete this record from the Initial Setup File.

[ Cancel ] Press this button to ignore any information entered on this window and return to the previous window. NOTE: If you make any changes in this window and then press the [Cancel] button to ignore those changes, then another window titled Save Record will open which asks "Do you want to save the changes to this record?". For additional information, please see Save Record.
