Apply Cash to a Journal Entry

This window titled Apply Cash to a Journal Entry is used to apply a miscellaneous cash credit or charge back on a Van Line Statement which does not directly affect a specific accounts receivable file. This window is also used by the Create Deficit Statement process.


Transaction Date: The Transaction Date from the previous window is displayed in this field. It is taken from the date of the deposit as recorded in the A/R Clearing Account file. This is an informational field only. You cannot change the date displayed in this field.

Posting Month/Year: The Posting Month/Year from the previous window titled Apply Cash to A/R is displayed in this field. If you want this journal entry recorded in a different Posting Month/Year, then you must press the [Exit] button and then change the Posting Month/Year on the previous window titled Apply Cash to A/R. The Posting Month/Year field on this window titled Apply Cash to a Journal Entry is informational only and the system will not allow you to change the Posting Month/Year on this window.

Journal Entry Number: This field is pre-set with "Stmt" followed by the Statement Number from the previous window titled Apply Cash to A/R. You can use any number here to identify this Journal Entry.

Description: Enter a description of the adjustment being made.

First JE Distribution Line: The first Journal Entry Distribution line is the amount which is being applied from the A/R Clearing Account file. This is posted against the A/R Clearing Account G/L Number. This line cannot be edited or deleted. You must use the [Add] button to add additional distribution entry lines, as needed, to complete this journal entry. There is no limit to the number of distribution entry lines. However, the [Record Entry] button will not be available until the total debits equal the total credits for this journal entry.

[ Add ] Press this button to add a new distribution entry line to this journal entry.

[ Edit ] Press this button to change the highlighted distribution entry line. Remember, Line #1 cannot be changed on this window. If the amount in Line #1 is not correct, then press the [Exit] button and re-enter the proper amount in the Amount to Apply field on the previous window titled Apply Cash to A/R.

[ Delete ] Press this button to remove the highlighted distribution line. Remember, Line #1 cannot be removed.

[ Record Entry ] Press this button to record this Journal Entry in the various files. NOTE: The [Record Entry] button will not be available until the journal entry is in balance (debits equal credits).
