Update Storage Container Types

The Storage Container Types provide various functionality to the billing and data entry process. A Container Type must be set up for the Customer before any containers can be entered or billed for. The exact function of each field will be described below.


Storage Container Type: Enter the type of container you wish to set up for this Customer. The description of this Container Type will be displayed to the right of this field. Press the [?] button for a listing of all container types, or to insert a new container type.

Contents: Normally, the computer will count the total number of containers in each type during the monthly billing cycle. This field will be automatically updated then, so it can be left blank now.

However, if you are storing items such as x-rays and you do not enter each individual one into the computer, then you can enter the total number you are storing in this field and leave the Verify Contents box below unchecked. The monthly billing program will then not verify the total contents for this type and it will bill for the number of entities stated in this field.

Rate Schedule: Enter the rate schedule to be used to bill for this Container Type. The description of this rate schedule will be displayed to the right of this field. Press the [?] button for a list of the current Rate Schedules. A rate schedule is the only way to bill for monthly storage. A Billing Code will not function here. If this Container Type has contents, but no Rate Schedule attached, then the monthly billing process can not be completed.

Verify Contents: Check this box if you wish to have the contents checked during the monthly billing process. This field works in conjunction with the Contents field above to determine the number of units to be billed for. If you wish to bill for a fixed number of units, no matter how many have been set up in the container file, then uncheck this box.

Destroy After: Enter the number of years which this Type of Container must be legally stored before it can be destroyed. This is used to automatically set the Destroy Date in the Container record. For example, if you must keep your records for 7 years, and the date received into storage is 01-01-2001, then the Destroy Date will be automatically set to 01-01-2008 for you. Different businesses have different statutes for records retainage. Check with your Customer for the proper number of years to place in this field.

[ Add ] Press this button to add this new Container Type.

[ Save ] Press this button to save the changes made to this Container Type.

[ Cancel ] Press this button to ignore any changes made on this screen and return to the previous screen.
